Office Administrator & Communications Coordinator

Reports to: Associate Pastor
Status: Part-time, Hourly, In-person
Hours per week: 20-25
Schedule: Sunday 8:30 AM–12:30 PM; Remaining hours distributed Monday–Thursday during regular business hours.
FLSA: Non-exempt
Pay: $28-30/hour

Job Summary
This position will serve as the welcoming face and organizational hub of our church. This dual role manages daily office operations, coordinates event logistics, and leads internal and external communications to keep our community connected.


Responsibilities:

Office Administration & Operations:

  • Office Presence: Maintain regular office hours to welcome visitors and handle daily inquiries.

  • Administrative Support: Provide routine administrative assistance to the ministerial staff.

  • Calendar Management: Oversee the master church calendar, facility usage, and space reservations.

  • Data & Records: Manage visitor and member databases while maintaining church documentation per bylaws.

  • Supplies & Equipment: Order, manage, and maintain all church office equipment and supplies.

  • Staff Collaboration: Attend weekly staff meetings to align on church goals and schedules.

Communications & Outreach:

  • External Media: Update church website content, design graphics, and manage social media channels.

  • Event Promotion: Create promotional materials for church events and community outreach efforts.

  • Internal Publications: Produce weekly printed publications and weekly electronic newsletters for members.

  • Inbound & Outbound Mail: Respond to inbound inquiries, send birthday cards, and mail updates to homebound members.

  • Visitor Follow-up: Send initial welcome emails to new visitors and copy the Pastor for continuity.

Event & Sunday Logistics:

  • Sunday Event Coordination: Recruit and coordinate volunteers to ensure a warm, welcoming Sunday environment.

  • Event Planning: Coordinate logistics and execution for various church events throughout the year.

  • General Duties: Complete other administrative tasks as assigned by leadership.

Qualifications & Skills:

  • Software: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Data Systems: Experience managing and updating databases accurately.

  • Communication: Strong skills in social media content creation, digital communication, and graphic design.

  • Interpersonal: Welcoming, highly organized, and capable of managing multiple schedules simultaneously.

Childcare Worker

Reports to: Director of Children, Youth, and Family
Status: PRN (as needed)
FLSA: Non-Exempt
Hourly Rate: $22.71/hour

Job Summary:
University Baptist Church in Austin, TX seeks a childcare worker to work with a team of experienced volunteers and staff. The childcare worker will be responsible for providing a safe and nurturing presence for all children that walk through the doors of UBC.

Essential Functions:

  • Supervise and care for children ages infant through 12 years

  • Promote participation and inclusion of children in activities

  • Clean up and keep things organized

  • Set up and clean up snacks

  • Report unexpected behaviors or circumstances that arise to Director

Qualifications

  • Previous experience working with children

  • Pass a background check and safe church training

  • Strong references

  • Strong communication skills with staff and volunteers and supervisor

  • Faith background is not required but must respect a progressive Christian curriculum that promotes inclusion of all genders, races, sexualities, gender expressions, socio-economic statuses, immigration statuses, abilities, and religious beliefs. The childcare worker will not be expected to lead or teach curriculum.

Core Competencies:

  • Ability to work with all children to help them feel nurtured and loved

  • Ability to work on a team

  • Ability to pass CPR and first aid training provided by University Baptist Church

  • Commit to follow training and Safe Church Practices provided by UBC

  • Ability to clearly communicate with staff about availability and issues that arise in the course of their duties

  • Willingness to learn and grow

Hours and Availability

  • Guaranteed four hours first or second Friday of the month during the school year (worker will know well in advance which Friday)

  • Back up Sunday mornings the calendar year. May turn into regular Sunday mornings.
